ORDERS OF BUSINESS

REPORTS

Allen

  • messaged SU about getting finance training and they responded saying they will put on more training in awhile


GAMES NIGHT REVIEW

  • good amount of people came and had fun

  • ran relatively smoothly and well

  • ended up playing nearly 5 hours of among us


VIRTUAL SAFETY

  • this is in relation to the zoom bombing incident that happened during one of the socials hosted by Mary’s LGBT+ 

  • association needs to find a way to organize a virtual safe space, or as safe as it can be

  • the association is to have a disclaimer at the start of socials, highlighting the risk involved, but also what we will do to try and mitigate it

  • what would the association will do in a scenario: 

  • in discord, if people did join the voice channel and did something inappropriate, if Freddy were kick them out, their discord names would be revealed to Freddy, and action can be taken from there

  • issue about people freezing due to the negative comments faced

  • the association plans to have thus at least two exec members present for every online social from now on; one to host the social itself, and one to monitor the activity and to be prepared to kick anyone out

  • also, to have the option to bar people from entering until the host lets them in for zoom

  • on discord, there is to be someone per voice channel who knows how to kick people out

  • if talking to the colleges need to communicate with this as well

  • participant viewing of who is attending events is disabled on facebook

  • mentioned only giving out zoom links to people who click attending, but there is the issue that people might still be nervous that clicking attending on an event might out them

  • current tentative plan: have people message or email the association for zoom links so that at least the association can keep track of who has the link

  • possible plan: using eventbrite, make events ticketed on facebook and eventbrite will automatically send emails with the link → to look into 

  • need to extend the short summary policy that we have to show the disciplinary procedures that will be available should such an incident occur during an association event

  • amanda to write something up

  • jonah to talk to someone who is trying to set up virtual safe spaces 

  • to create a post addressing the situation and that we are trying to ensure that events can be as safe as possible


UPCOMING WEEK’S SOCIAL

  • parenting social and post-grad social

  • parenting social to do the escape room

  • issue of how to do the breakout rooms, might be too complicated 

  • tentative plan to put multiple families in the same room

  • would need more people for admin (to manage the breakout room, to explain the rules)

  • fliss to pre-record a how-to video with them explaining the event and how to manage the escape rooms

  • to figure out: another way to be live that is not zoom

  • on the 2nd of november, roughly 8pm, there will be a link on the event to the escape room

  • to make it a mini competition, people send in the timings for their escape room


HALLOWEEN PLANS

  • rocky horror

  • to order rocky horror picture show from amazon prime and stream the dvd on zoom

  • to put a disclaimer on rocky horror about there being some potentially problematic issues

  • tentative plan: to have a possible discussion after the movie, what people think about it, and things like the movie in the context of the time it was made as opposed to current views

  • thursday 29th

  • costume showcase

  • on actual halloween night, the association will post community photos of people in their costumes

  • not so much of a competition, more of a fun event for people to showcase their outfits


WELFARE RECOMMENDATION HUB

  • problem identified in dropins that if someone comes to talk about a particular issue / identity that the welfare team is not totally sure of, and there is thus the issue of not really being sure what to recommend to people

  • therefore, proposing to have a place where people can submit things (books, movies, podcast, etc) to suggest things that helped them with things like accepting or understanding their identity 

  • megan can put in the book club books 

  • discord

  • there has been some recommendations on discord, but there is the issue of not everyone using discord

  • tentative plan to add it to the website

  • peter and amy have created a google form for it, open questions for people to write what they want

  • can link to the different mwm reps or association campaigns as well

  • to add a pros and cons of a certain resource


WELFARE DROP-INS

  • 1030-1230 on thursday (alternate weeks, this week is amy)


INTERSECTIONAL FEMINIST SOCIETY

  • they are adding representative positions for certain minorities and wants the association to distribute a form

  • to make a facebook post and instagram story and put in the email

  • wed 28th they are having a meeting about being a feminist and supporting trans/non-binary people, discussing issues such as breaking stigma terfs have created

  • intfemsoc wanted to get as many trans and non-binary people to come to have them talk 

  • association plans to help them advertise


CAMPAIGN SIGN UPS

  • the campaigns team is currently discussing doing podcast (separate from fliss and jonah’s radio podcast)

  • one of the members of the campaign had to drop out, and therefore campaigns will probably have to open sign ups again

  • amanda to include this in the email

  • currently team size: intersec (5 non exec)


TRANS ASSOCIATION

  • jonah has talked to the su, and we need to send them the timeframe of the nominations and voting

  • just received the constitution right before this meeting, amanda will look over it by wednesday

  • only electing the top 3, need to advertise the positions


REPORTS COMMISSION MEETING

  • jonah went to a respect commission meeting, it came up over summer, it was about homophobia, sexism, racism, etc, 

  • it was a talk with the vice chancellor about these issues

  • they want to make a respect oversight group, 15 people staff and student to oversee, looking for people who have links to groups and have knowledge about the group

  • jonah asked if could have the full exec of the association, they replied to say that jonah should run as a representative of the association

  • jonah plan to oversee the workload and applying as an indiv

  • if anyone wants to apply to apply 


ACE WEEK

  • starting sunday, to include in next week’s email


FIVE RANDOM FRESHERS (PG)

  • sunday at 7pm

  • to have another exec member present to help out


OTHER BUSINESS

  • jonah will not be present next meeting as he has a meeting with the welfare liberation thing
