  • we have resources from past year freshers and frep resource packs that can be forwarded on to Caitlin and Ellie

  • want to do a lgbt+ acceptance training similar to the anti-racism training that happened recently

  • to put together something that can be rolled out in colleges, the content ideas are things like how to manage religious beliefs while still being accepting, the plans now are still vague but this is the general idea

END OF TERM EVENT UPDATE

  • tabled to next meeting

SIGNING STATEMENT

  • seems pretty unanimous in support of signing it

  • highlighting the fact that the uni hasn’t done more to protect students and the point is not to call out lecturers, supportive of the strikes but not supportive of

  • the people heading this might put together something about how minorities are more severely affected

  • Mal may put tgt something for how it affects queer students

  • any issues drop Mal a message

AGENDA

  1. agm date

  2. fashion show update

  3. lgbt ball

ORDERS OF BUSINESS

REPORTS

Grace

  • just an update and follow up from last term, aspect of recording a chronological is what grace wants to make its dissertation next year

  • just have to be careful of overlap of dissertation work with exec work, anything as work for role on the exec vs utilizing role on the exec to get info for the dissertation

Mal

  • mal went to nus liberation conference

  • in generally, they didn't think anything nus put on was useful for association

  • but they have now contacts with lgbt and trans reps from other unis which would be helpful

  • south protest group demands following the formal is a transition fund that would be centrally funded, Mal working on it with others

AGM DATE

  • Mal is to make a poll for everyone’s availability

  • AGM will likely commence sometime between the 6th - 19th of june

  • online vs in person

  • issue of in person is trying to find a suitable room, getting turn out, etc

  • hybrid may not be very viable as well for hearing accessibility, but also for zoom meetings come with trigger noises for autistic people as well that can hinder accessibility

  • a vote was taken with the exec and the majority decided to go for having an online AGM

FASHION SHOW UPDATE

  • nothing has been organized unfortunately and at this point in time we do not think it can go through

  • applications were put out in first term and there was insufficient applications to actually have an exec

  • generally, there was just not enough interest in it

  • possibly Keir can run alternative events

  • if not feasible we can pool resources on the end of year event

LGBT+ BALL UPDATE

  • it was decided during the meeting that having a full on ball is not very feasible as we simply do not have the budget for it without making ticket costs astronomical

  • instead, there is a plan to host an end of year lgbt event, a summer event similar to the Queer the Weer event last year

  • in the future if we want to do a ball we’ll have to do earlier fundraising (though this also has its issues)

  • for the end of year summer event, we’d have to find a venue as the racecourse venue may not be returning, possibly in the SU such as the ball room

  • if we use the SU, we can also potentially use their bar which will be helpful for determining drinks

  • we will also have to settle getting snacks and food and whether we want to provide that

  • to organize a committee to work with the social secretaries on this, put out in socials as well as email

  • no need specific roles, might need stage managerial exp, publicity, act coordinator and recruiter, anyone with this exp or just interested encouraged to apply, try to persuade people to reply

  • try to get people to apply by the 15th of may

  • the event would be ticketed as well to help with costs as our budget is limited

  • to ask jonah for estimate figures for people and costs last year to help with deciding our budget

ORDERS OF BUSINESS

ASSOCIATIONS WEEK

  • Jonah is organizing an associations week, which is a week to showcase all of all the different associations

  • the LGBT+ association has been given the 7th march, Monday, for our showcase

  • there is a list on chat which is a checklist of what we need for the event

  • we will need a spotify playlist and purple radio will be doing some things

  • Grace will be happy to help out with the playlist

  • Ainsleigh has placed a song request option on instagram, we have gotten quite a few answers that we can use

  • Peter also mentioned that a alliance has a playlist that runs for 36hrs

  • there will be an instagram takeover, so they want the associations to do a one minute video of what we do and why the association is important, the video can contain Mal, any of the exec, or a collection of all of us

  • the deadline for this was technically tonight, but the deadline Mal was told by Jonah is 1st march

  • we will need a lot of photos to make videos

  • if anyone has any pics of association events please send it in, but if the pictures include faces of others, we would need to get their consent beforehand

  • Mal would also prefer not to speak for the whole minute so we will be doing a volunteer sheet of who is comfortable talking for a few seconds on video

  • if as many people as are comfortable talk about why they joined the assoc, why it is impt, etc

  • Amanda to circulate something people can jot their name down on

  • Grace is happy to do the speaking for the video, if someone has some notes on what to say that would help

  • Mal will do one as an example

  • need a statement which Mal is working on

  • we need to put on an event, what do we want our event to be (e.g. social)

  • Mal was thinking that can do a night out on osbournes, but appreciates that this is very last minute for the social secs to come up with something

  • the social will be for Alicia and Grace to organize and discuss together, but as it it short notice, anyone willing to help out it will be appreciated

LAW EDI MOVIE SCREENING

  • law EDI department is doing a movie screening with a movie about two gay lawyers for LGBT+ month

  • they have asked us to help advertise

  • everyone seems happy to help with advertisement

  • they have already made a poster and sent it to us, Amanda to send the poster to Ainsleigh to post

STUDY FROM DEPARTMENT OF SOCIOLOGY

  • department of sociology has emailed us about wanted a focus group of LGBT+ people

  • collectively decided that we will reject their request as a general rule of not advertising studies

OTHER BUSINESS

South College Update

  • Jonah has let the associations president know that regarding the south college incident, they (we are currently unclear who is they refers to) are going to look at the joint statement that was written by the various presidents of the associations last term and they will compare with what they want and requested and feedback to SU, it does look like we might get some progress about the point made about transparency

ORDERS OF BUSINESS

Reports

Mal

  • Nothing new on the Osbourne's/bouncer front since last time

  • Met with Jonah and the other presidents to discuss goals and how the SU can help

  • Advising on the sexual health campaign (which looks really good so S/O Caity)

  • Looking into last year's gender neutral bathrooms campaign in the background but it's slow going for now

  • have had a couple of people reaching out regarding their department's EDI team and how we can cooperate

  • Jonah has planned an 'associations week' so we will need to make a start on the checklist for that (sent in the exec chat a few weeks ago but I'll resend asap). The list includes a Spotify playlist, which might be fun to outsource to the community by taking suggestions on our insta story? Definitely not a public playlist that everyone can add too thought there'd be too much of a risk of homophobes/transphobes adding nasty stuff

Keir

  • headed to the SU assembly tomorrow evening and he is going to report about the bouncers situation in Osbournes, the sexual health event, cabaret event with the dst, and the collab with history society to celebrate pride month

  • if there’s anything else anyone wants reported, please do forward it on to Keir

  • Phoebe brought up the issues of potholes in the south bailey’s area, this is a problem with navigating the area and they mentioned how physically disabled individuals will be disproportionately affected by the issue, they asked if it was possible to bring it up at the DSU Assembly

  • Keir agreed to bring the issue to the meeting and the association will also get into contact with SwDA

Grace’s hust for the Social Secretary position

  • pronouns are she/hers/its

  • have a great deal in exp in running events; risk assessments, diverse range of scenarios, personality and comfort with discussing important aspects of org and high pressure sit gained from over 3 years of exp in the theater world would give me key skills for room bookings and planning events

  • pride self on three things, practicality, imagination, collab leadership style

  • thought out proposals that might arise in all matters, comfortable to working in all situations

  • coe together quite well and with running for small group scoutings and familiar with managing the practical aspects of it

  • questions: do you have exp with SU and running events with the durham SU

  • frankly no, but I do have experience with complicated systems that i’m new to and learning new systems is something that I am confident that I can do

Ellie’s hust for the Assistant Campaigns Officer Position

  • she/her first year, excited to getting into the durham lgbt scene, excited to see how the development in osbournes will go

  • main reason wanted to run is that while i have had amazing experience in the lgbt community but i have also had bad ones, thus want to give people support in areas like coming out, mental health, from a non-accepting community, etc

  • see the importance in having a little joke and fun, and pride in our history is rich

  • one of the first out people in sch and the foundational members, involved in talks and social events, experience fundraising and working with children from a diverse range of backgrounds

  • also have exp working in tutoring which can help w

  • qn: do you have any campaigns you especially want to run?

  • campaign to help people who come from non-accepting grounds, also sex positivity in the LGBT+ community to continue the campaign that is already on-going and help out with it

  • qn: within the limits of the systems you are, how would you best help with the culture change for the people who are coming into durham e.g. feeling lonely?

  • one of the things can help is having a coffee meeting to talk about your experience, things like the playlist sounds like a good idea, recommending extra resources, films and watch and catch up

  • qn: encourage more talks about healthy sex, would it be inclusive to disabled people?

  • yes, inclusive and the whole point of lgbt+ is to be inclusive, want to be inclusive, as someone without a disability personally would look to resources or people who do and things to learn from

  • not just physical disability but also neurodivergency

Lesbian Rep

  • Grace husted for this position

  • elected successfully by caucus

Post-grad and Mature Students Rep

  • Stephen husted for this position

  • elected successfully by caucus

Working Student Rep

  • Grace husted for this position

  • elected successfully by caucus

LBGT+ ball

  • Keir and Alicia are trying to organize a LGBT+ Ball for next term

  • in order to do this, we might need to put together a group of people for an exec in order to sort out things like entertainment and work with other societies

  • this point was brought up today as a heads up, and anyone interested on being on the exec can reach out if they wish to, more info will be put out later

  • will need to talk about finances with Kirsty

  3. LGBT+ History Month

  4. Extending Nomination Period

  5. Voting Period

  6. Stash

ORDERS OF BUSINESS

Reports

Mal

  • SU will be taking one policy idea forward to NUS, not sure when

  • assembly members had to vote, it was the drug harm reduction policy and freedom of speech bill

  • mal voted freedom of speech bill, viewed it as important esp in light of south college

  • continuing to work with the police and the bouncers, slow going, hopefully will have a meeting with osb manager soon, had meeting with police liaison officers, they have good intentions

Alicia

  • there was incident yesterday of someone being dragged out of the toilets in osbournes by the bouncers so there may be an incoming report as well

Online vs In Person Meetings

  • online seems to be more convenient, especially since we’re doing alternating weeks

  • though it may be good to do an in person thing as an exec, we could do an informal social at some point, nothing that will have to be arranged too much

  • general consensus was for online meetings

Sexual Health Campaign

  • Caity is organizing the sexual health campaign and it is coming together well

  • the plan is to have it span from the 14th to the 18th of February

  • the initial plan was to have a massive testing drive, but the kits are difficult to come by even after contacting some organizations and with the COVID cautions in place, it will be difficult to organize

  • the plan now is to still have an in person event, but nothing too big

  • alternative ideas:

  • booth for handing out sexual health supplies

  • this might be doable as welfare just ordered a new batch of supplies

  • we don’t have a lot of dental dams, but we do have a lot of condoms, and a few varieties of condoms as well

  • it might be good to have information leaflets as well, or qr codes to websites just to have something for people to take away from the event that gives them more information about sexual health welfare

  • Caity will also be getting the social media post organized for the posts for that week

  • physical anonymous q&a board

  • this can be a physical board in the SU, either to have post it notes to for people to write their questions on or things that we wished people knew about more q&a

  • board to write questions in su

  • can be erased etc

LGBT+ History Month

  • February is LGBT+ history month

  • have a few events lined up

  • cabaret night on the 27th

  • english lit society wanting to do a collab post

  • Ainsleigh can also do a couple of informational posts to be spaced out over the course of the month

Quiz in Collaboration with the SU

  • to be held on the 13th of Feb

  • it will be LGBT+ themed with subcategories such as film, tv, history, politics, etc

  • all exec members are to help out with coming up with questions for the quiz

  • each person can take a subcategory to do, and Alicia will send out a document for people to fill out which rounds they wish to do

  • currently unsure if winners will get prize money, from Mal’s recollection, the money from the tickets will go half to the winners and half to the association

  • Alicia is to confirm this with the DSU

Extending Nomination Period

  • as we have not had any nominations for the role, we will be extending it to the 8th of February

  • we will also be having a short exec meeting 10 minutes before the actual TGM in case anyone wants to run

  • Amanda to post on the email and Ainsleigh to post on social media of the extension

Voting Period

  • 9th to 14th of February

Stash

  • something for the exec to think about on whether or not we want stash

  • things like color, etc

Peter

  • will be getting a fresh supply of pronoun badges tomorrow morning, Peter has arranged for it to collected in the SU

  • Peter will try to leave the pins in association room and we can use for socials and things like that

  • welfare email not working yet

Trans Day of Remembrance Vigil

  • there is firstly the Newcastle vigil on Saturday that Mal will be leading to go to

  • for the Durham vigil, Mal suggested palace green at either 6pm or 7pm on monday, 22nd

  • decided on 7pm as 6pm might be too close to the end of teaching time for people to make it to the vigil in time and clashes with college meals as well

  • as the vigil is static, we will not have to inform the police

  • palace green currently has items for lumiere, should not pose an issue but we can go earlier to scout and pick a spot in case

  • Mal may be asking people to give speeches for the vigil itself

  • the association can look into provide candles (from the association accounts, it seems we will have the funds to do so)

  • we can also perhaps have signs / banners to indicate what we are doing

  • we will need to fill out a risk assessment form (Amanda to do)

  • a sound system would be ideal, we have a megaphone somewhere (to ask Alicia)

  • to look into speaker system, preferably something portable, Alex to check with people from climate strike to see what they used, Amanda to email DSU to ask, also to ask exec chat

ORDERS OF BUSINESS

Reports

Mal

  • worked with Jonah to write a letter to osbournes as there was an incident where an individual reported being kicked out of the women’s toilet

  • the situation was handled very poorly and there is a clear lack of understanding in bathroom policies

  • this is troubling especially on lgbt+ night and we are hoping to push for gender neutral bathrooms at the very least on lgbt+ nights, even if it’s just a piece of paper pasted on top of the gendered signs

  • Mal has not heard back yet, but will update will they do

  • Peter, Nicol, and Mal have been working on the issue of fundraising sharing

  • historically association has not shared fundraising requested by students simply because we would be overwhelmed by requests, but to work around that we can have a structured system to take applications

  • Peter, Mal, and Nicol have made a google form to take information of the requests and periodically we’ll put a post

  • the idea for now it’s to do it termly

Nicol

  • AIDS related resources in the association room, mostly the resources are just documents from past exec, we could use the information on it, but there are no flyers

  • we do have information books from the national AIDS association that have the red ribbons and the coins, but the issue with the coins is that we need a slip but we can’t find the slip

  • might be good to get some new resources as they’re very old resources, stuff we could dispose of

  • Rob from sexpressions has messaged his resource officer and will send through some leaflets

Sexual Health Campaign

  • Jack and Caity want to divide this years campaign into two parts

  • the first part, which will be this year, will be revolving around consent to go with what Nicol and Peter are doing, and then moving into sexual health campaign next year

  • have rounded up general sexual health resources in the association, trevor project, a few dated things

  • some of the leaflets are very outdated, so we have to be careful on what we recommend as it could cause more harm than good

  • Caity and Jack are keen to tie it to safe sex for LGBT+ people, but they also want to make sure that when talking about HIV, it is not just seen as a queer issue as it affects everyone

  • they have a few ideas, want to work on this around feb - march to have more time to prepare

  • the plan is to start with an awareness campaign focusing on HIV and safe sex, and if this is an idea that everyone likes, to have a testing drive event (to liaise with socials)

  • Caity and Jack are trying to talk with the NHS about things like PreP, which could potentially be a welfare thing with regards to discretion about getting things (to liaise with welfare)

  • they also plan to get together some sort of leaflet to disburse online and give to college welfare about safe sex, campaigns will be coordinating with welfare and sexpression

  • want to see what resources NHS has and whether they would be willing to work with us

  • also been looking into county durham north sexual health club, looking to contact them in terms of providing supplies if we promote them in turn

Sexpression

  • Jack and Nicol met with Rob to discuss some matters

  • Rob has heard about mandaotry consent courses that people had to do at the start of term were not the best and looking into doing something to fill in the gap, especially considering the sexual assault culture is revolving alot around night clubs and spiking

  • needs to have some sort of better consent education

  • trialed at oxford was that in order to sign up for a sports club for free and go to events, you would have to sit in on a specific consent training workshop

  • was successful because found that what brought home the issue to the individuals surrounded by ‘lad culture’ was that hearing their mates saying how it was not ok made them listen more

  • targeting the sexual assault culture where it is and also those who refused to attend the courses would not be allowed to the socials

  • also for students whose english is not their first language, they are looking to put on a course in the language department to have english for communicating consent

  • looking to update resources to ensure that the language is non-gendered and to see anything that the association wants to put in, can contact Rob

  • looking to make that as lgbt inclusive as possible

  • meeting set up on st aidans on thursday at 2pm, briefing session at 140, if anyone can make the meeting to pitch the course it would be good

Trans Day of Remembrance

  • 20th november, it would be good to post some stuff on social and hopefully have an event

  • there will be a vigil in newcastle, not sure if want to make it an association event, can be informal

  • Mal will be going to the vigil (starts around 6pm) and he is happy to take a group informally and not as the president

  • we will advertise the vigil on socials but not as an association event

  • could do a film night for trans remembrance day, perhaps disclosure or paris is burning

  • could do the movie screening on the 23rd, get a room in the dsu, maybe meeting room 1 as it has a television

  • tell people to bring blankets and pillows

  • joint anglican and methodist society asked if we can share about their event (will have to make it obvious that it is a christian event)

Quiz Opportunity

  • in the group email from the SU, they are running quizzes again, groups have the opportunity to host a quiz in the riverside bar on sunday evening

  • could be drag race trivia, Alicia will need help with quiz questions and Jack has a few options

End of Term Event

  • would be good to do something for the end of term

  • maybe to do karaoke again, festive songs that people can sign to

  • should do at least one more karaoke, can book out kingsgate

  • plan to do on the 29th

Drag Race Social

  • 25th of november is the finale of this season of drag race and Jack is happy to host a small social regarding it

  • 7pm - 8pm (show starts at 7)

  • maybe meeting room 1

Christmas Break Socials

  • would be nice to do a craft thing, maybe online

  • during the christmas holiday, we can split the who is running it, maybe to do a doodle poll to see who is available

  • not compulsory to state availability

  • if anyone is staying over might be nice to do something in an informal capacity

NHS Sponsorship

  • as we have received a high volume of request for supplies, it might be nice to receive sponsorship

  • NHS has sponsored us before, might be good to ask

  • Mal might have some contacts can give to Nicol

TGM Date

  • the options were either 30th of november or 7th december

  • for now, we will stick with 7th december 7pm, pending availability

  • to have the lesbian rep election

  • Mal to write the motion for it

  • not a lot of commitment on our part

  • give boxes of condom and maybe other some safe sex supplies

  • through a different organization

Rocky Horror

  • the social is tomorrow (4/11), the screening will start at 8:30pm

  • there are drinking games or just regular games that go along with the film, however, when looking at what the games involved it does not seem appropriate

  • the games that go along seem to involve a lot of throwing items that would create too much mess

  • drinking games as well at college bars are generally not allowed

  • can ask them to dress up, not going to do games

  • going to leave the tables and chairs, should be minimal set up

  • doubt turn up will be too high till the point that we will need to shift around everything

  • anyone is welcome to come and join

Unfilled Rep Positions

  • there was a discussion last meeting of the lesbian rep and election of it

  • the mature students / post grad rep also hasn’t been filled and is the only one remaining that is not filled

  • we will advertise for these roles before the TGM to hopefully get people elected into it

  • Keir can reach out to Caity and campaigns about that to liaise

  • Ainsleigh for now can acknowledge the message and direct the sender to the campaigns officers socials (pending approval from campaigns)

Emails about LGBT+ Career Opportunities

  • we have been receiving a fair amount of emails regarding LGBT+ career opportunities targeted towards LGBT+ individuals

  • it might be worthwhile to have a database for the opportunities

  • Keir would not mind doing a brief spreadsheet

  • Amanda to forward on emails to him

  • Ainsleigh can put on linktree and advertise

Osbournes Statement

  • unclear about position now as Mal is not able to attend, we will postpone the discussion

  • to drop a message to cara to make sure they are ok and to ask whether they are still interested in the role

  • Amanda to drop an email to her just in case it has been an issue with their facebook

  • by the next meeting, if we still haven’t heard anything we can let her know that we will be reopening the role

3.     Trans Guide

4.     HIV Resources

5.     Lesbian Rep

6.     Club Security and Spiking

7.     TGM Date

Reports

·       Still no access to welfare email – Peter has emailed again and still had nothing

o   Could either call up CIS or visit in person

·       Safe sex supplies ready once we can get into the cupboard in the Assoc. Room

·       Mal attended the first Presidents’ meeting with Jonah and the SU

o   To send over info about support offered, esp. for Campaigns

o   To vote in Assembly – will raise any difficult points and discuss beforehand in weekly meeting

·       Sophie Corcoran has been given a 2-hour slot on Purple Radio

o   Mal has raised with Joe (in charge of Purple Radio) and hopefully Sophie will be removed; however, she is likely to drag us on Twitter for it

·       Nicol unable to access safe sex supplies – to direct people to college welfare

o   To put out clarification post on socials

NUS Delegates

·       Call for NUS delegates at NUS conference if people are interested

o   Mal to forward the details

Trans Guide

·       Small group working on it; to review after lecturers raised questions about how to best support their trans/gender non-conforming students at latest Town Hall

HIV Resources

·       Mal hoped to investigate but no access to Assoc. Room key

o   Old leaflets available – what needs to be added?

o   2016 website does have some info on STIs, but again could be outdated

o   Trans Assoc. might have things available too

·       Potential for a campaign around awareness + getting PrEP available in Durham

o   Jack and Caity to discuss later in the week and feed back

Lesbian Rep

·       Currently don’t have one, but would be good and people would probably be happy to do it

o   To raise at TGM and see if anybody would like to fill the role

Club Security & Spiking

·       Fabio’s situation: taken up through college and police liaison, so Mal less involved

o   Mal to reach out to victim again and discuss new situation with Events Manager and Crypt’s Organiser to see what’s happening

§  Essentially, Fabio’s has assured students of the University that they are protected against spiking due to CCTV in the club; however, the footage relevant to the previously discussed hate incident was not provided

TGM date

·       Must take place within the next three weeks, with availability to be canvassed via a Doodle poll to be sent out later this week

o   Tuesday vs. Wednesday discussed – Tuesday preferred by those in attendance

o   Could also be held over the weekend – just cannot be during teaching hours

Other Business

·       To try out another karaoke social at some point, since the first was well received

o   Assoc. room to be used for board games when available

·       People requesting a more relaxed, quiet social

o   Ainsleigh to post reminders about board games and coffee shop socials to ensure people know they are taking place

·       Festival-related socials may be a good idea (e.g.: Holidays/Christmas, Valentines), especially for a craft-centric social (again, more relaxed)

·       Clarification needed for Rocky Horror show social

o   Possibly 1st Nov. at 20:00 in Mary’s bar/dining hall – Ainsleigh to clarify with Alicia

§  Bar to be open to college residents as well, so potentially difficult to check LFTs, but projecting area to be in dining hall, so checking should be possible

ORDERS OF BUSINESS

Reports

Amanda

  • finances from the tent event: we are not going to be charged for it, the SU is settling it now and we can carry on like the charge isn’t there

Craft Tie Dye Social

  • this saturday (23rd Oct) 6pm set up and start at 630

  • to run from 630 to 8

  • doing tye dying, alicia’s friend knows about it and will be helping to guide us throughout the process

  • to get reimbursement for the cost of the supplies, alicia is to send the receipts to kirsty and she will process them

  • need to pre soak the clothes and alicia will leave a collection box in the SU, maybe reception will allow if we ask

  • this is replacing the 5 random freshers meet up

Karaoke Social

  • majority of it is sorted

  • booked room from 9pm - 10:30pm in Kingsgate on Monday, but we will probably run the event from 9pm - 10pm as people will probably want to head to Osbournes after and it has been pretty crowded

  • alicia will be there early to set up

  • we can also make it a games night in conjuction as it shouldn’t take too much work to merge the two

  • amanda to check if have board games in the association room tomorrow to work out what there is

  • this will be also advertised as the 5 random freshers event

  • keir to match up and send out email

  • in order to avoid awkwardness and make the event run more smoothly, we can ask people to talk beforehand

Rocky Horror

  • alicia’s college (mary) allowed us to use their dining hall on 1st nov, but because the bar is being run from the dining hall, other people who aren’t in the lgbt community who may walk in and out of the room still

  • this was discussed and the consensus was that it will be fine as people are unlikely to linger when an event is going on

  • bar opens at 8pm, so we will start later

  • rocky horror is 1h40 finish at roughly 9:40pm - 10pm

  • it is about 20 min walk from mary’s to osbournes

  • alicia to email college

Coffee Social

  • need a rota

  • maybe to bring some snacks

  • there is tea, coffee, and hot chocolate in the association room but no mugs

Safe Sex Supplies

  • there was a discussion on how to handle delivery

  • normally, if you can come and collect to collect from the welfare drop ins, people can also collect during socials potentially

  • the plan currently is for peter and nicol to make the form and work out what options to put on

  • not likely to do postal delivery as it is not very feasible or practical

  • there can also be an option on the forms to have an identifier to put on the bag so we know whose is whose and there will be no mix ups

ORDERS OF BUSINESS

Reports

Peter

  • welfare emails have been created and it comes up in the directory of emails, but it would take a couple of hours to access it and peter has not had access to it yet

  • the email is welfare.lgbta@durham.ac.uk (comes up as association welfare), both Peter and Nicol can read the emails and send the emails from the accounts

Nicol

  • inventory for association room

  • for crafts we have some sharpies, colored pencils, colored pens, acrylic paint, brushes, four boxes of glitter, white glue, googly eyes, lots of scotch tape

  • for safe sex supplies, not much stuff is out of date, but we will still need to order some stuff for safe sex supplies

  • safe sex supplies

  • female condoms and pregnancy tests did not have an expiry dates on them so we are not sure when they expire (14 pregnancy test, 2 female condoms)

  • Peter checked, pregnancy test expired, condoms have august 2022

  • potentially need that and lube

  • Peter and Nicol will try to get inventory up ASAP

  • can buy back the same brand for the safe sex applies

  • nicol to message kirsty regarding what is to be bought

campaigns want to get college and subject reps more integrated

Subject Reps

  • Mal received a message from someone who was keen to be involved in the assoc and asked whether we have subject reps

  • we do not have currently but it seems like a good idea to have a link in the department

  • EDI reps are not part of the association and we could possibly form a link with the EDI reps rather than trying to create a new role

  • this would work in a similar manner to our current relationship with college reps

  • potentially to have own reps for different subjects may be too far, may not be much we can do with the subject rep

  • Mal to track down some info about the EDI reps

  • aim is to have another route to access welfare from the association and things like that, especially for any specific issues within department

  • decolonizing the curriculum could reach out to that as well (seems to fall within the EDI scope)

  • electing subject reps by ourselves may come off wrong as it would be like if we were elected in the college reps instead of the colleges doing it

  • if they were looking for a way to get involved in the association, we can find other avenues, e.g. last year there was a campaigns team and there will likely be one again this year

  • Mal will tell the person getting in touch about campaigns and that there may be a campaigns team

Gender Neutral Campaign

  • the aim for the campaigns team is to integrate the gender neutral dress code with the fashion show

  • sounds good and everyone agreed to this

Advertising Group Chats

  • no one knows about any of the group chats, need to advertise the main one in particular and then the identity ones

  • these are the group chats  you can join kind of post

  • to make a graphic and to include in weekly email

  • say to message the association page as there will be usually someone in the exec in at least one of the chats

  • peter or mal to message in the reps chat to get a list of who has group chats

Coffee Shop Mornings

  • every fortnight starting next week

  • kingsgate

  • 2pm on Monday

  • Amanda to create a poll with yes or no free and willing and the rest of the exec to vote

Black History Month

  • Ainsleigh is planning to make a post for black history month

  • She is to research if anyone has anything to include

  • Nicol and Alex Adams are the poc rep and it’s possible to get into contact them as well

  • Mal is in the presidents group chat with DPOCA and if we want to link up with them that would be good to get the associations working together and to get the perspective of an individual who actually identifies as Black

  • now closed the sign ups for parenting scheme, matching up kids now and will send out emails for families

Five Random Freshers

  • Alicia has two room bookings confirmed, meeting room 1 for 23rd oct (6pm - 9pm), we can possible make into a five randone freshers social or alternatively we can do a university room booking

  • the social will be a quick fire ice breaker questions that alicia had for freps that she can get a hold of for the social

  • to use the 23rd for 5rf

  • possibly to have a craft thing that they can do as well so it takes pressure off the small talk

  • we have stuff in the association room; sharpies and glitter, we can say bring your own stuff

  • mini canvas painting (possible but depends on how much it is), or mini wood painting, potentially have some paint in the association room

  • timings for socials:

  • 8pm - 10pm

  • Keir will be buying a box of chocolates for first prize

  • can do a powerpoint

  • teams are to be made with the assigned family, but it doesn’t matter if students didn’t sign up for the scheme, they can still come even if they have no families, as long as they can make a team of no more than ~5

  • can’t work around the bar crawl, bar crawl starts around 730

  • laptop with HDMI need for the social

  • to use our page or make a post to show their info

  • doing a day takeover might be difficult, maybe an instagram post that schedule once a day and chase people down for what they want in the post

  • save videos and send to ainsleigh to post

  • to do a round up of social media and group chat and collate info

  • to start asking the reps for their info as it takes awhile for people to respond

  • can do a schedule

Exec Roles on Discord

  • to update as it is still the old exec

  • Peter can look into that

Campaigns Updates

  • would like to center campaigns around gender neutral bathrooms and gender neutral dress codes for formals (standardizing / formalizing), thinking more on how to actually do that

  • if anyone wants to help can give a shout

Library

  • Kirsty said we have money to buy the bookclub books

  • shared excel sheet

  • Jonah messaged amber from sexpressions about the modeling for the art social, but we decided not to go through with it because of issues with privacy and security

  • Amy suggested that the museum has some free / paid videos of nude models as an alternative if we want to go through with the nude modelling, but as of now, we are doing to do a sit and paint as suggested by Amy previously

  • for now to do paint and sit that Amy suggested

MEETINGS DURING THE TERM BREAK

  • the plan is currently no meetings will be held during the term break as everyone will need the time to rest and prepare for their exams

  • however, we will have one / two weeks before holiday ends so that everyone may give a brief of what they want to do the next term

MEETINGS MISC.

  • due to the TGM occurring on Tuesday, there will be no meeting on the upcoming Sunday

  • the last meeting of the term will be on Thursday, 18th of March at 6:30pm

  • the meeting will be to welcoming the new Postgraduate Vice-President, if people are unavailable to come, they should not feel pressured to do so and it will be a very informal and short meeting

TGM DETAILS

  • how motions will be run

  • there will be a for and against position

  • the person who proposed the motion will speak about it first (1-2 mins)

  • then the host will ask if anyone would like to speak against the motion

  • if there is anyone against the motion, they have a few minutes to speak as well and there will be a debate

  • it should also be asked if there are any questions about the motions

  • after this has been concluded, there will be a poll for the motion on the zoom call itself that people will vote for (give maybe a minute for people to vote), the results can then be displayed after

  • issue of jointly held positions

  • question was posed if people should have to run together together to be eligible for a jointly held position or if we were going to award it in the event where there are many candidates who are competing for the role

  • for the sake of clarity as well as ease of conducting elections, jointly held positions will only be awarded where people explicitly run together
