REPORTS

Finances 

  • need someone to take over the finances after Allen has left, for now Jonah still has access to it, but someone needs to get finance training


Jonah

  • Jonah has been taking to katie to organize an event but jonah’s facebook is down, she wants to do a talk but she is not sure she can do the first week of march

  • the  talk will be about her life: she is an older activist, lived through the AIDs epidemic, and the don’t ask don’t tell rule (american) 


Fliss

  • fliss has done the adoption station and has given people their kids

  • everyone had 4 kids each, this was done to ensure that they can hang out properly together

  • the wed coffee social was good, we had 10 people, fliss and freddy took two groups off each


Allen

  • regarding the earth sciences survey on pronouns, we have had 66 reponses on monday

  • jenny sent allen the results and people’s responses were overwhelming positive

  • allen is waiting to hear back from her

  • currently the plan is to maybe to send the answers to other departments so they can consider including pronouns in their own email signatures 

  • finances are looking good

  • regarding tom, jonah has asked tom about the amount of money he is owed, but he has not replied

  • the current balance in the association’s account is roughly £560

  • the SU has not sent over the £500 pounds that associations are granted at the start of term, amanda to email and ask SU about it


Megan

  • fundraiser ends today, megan has put in all the money from the murder mystery which was around £60

  • we have roughly £600 raised now

  • regarding the exec instagram takeovers, megan has moved hers up, and everyone who wants to do the takeovers please fill in the dates you are free


Freddy

  • we had chit chat and make crap session, the attendance was low, but it was nice

  • we had murder mystery, which was really well attended and it worked really well, people enjoyed it

  • we can use the murder mystery set again next year now that we own it

  • there is a games night on the 4th, which is the typical discord games

  • there is a plan to have a cocktail class on friday as freddy is a bartender and can teach people how to make drinks, they will put up a ingredients list; mainly a dark spirit and light spirit and a mixer 

  • tentatively planning to try a fitness thing next week, but freddy might not be able to lead it

  • freddy thinking of using a fitness marshall from youtube as he is LGBT so it might be nice as well

  • the day of it is unconfirmed yet but tentatively it’s to be held on a saturday morning at 11

  • arts drawing class, trying to find a model that pose nude will be very difficult, especially the privacy of people not taking photos of the person

  • amy suggested hilde bede’s insta had someone called queerstrangvibes on insta come in in feb to do an art body workshop, and we might be able to try and ask to get someone to come down and model for us

  • jonah to ask sexpression as well

  • amy will ask hilde bede 


YOU ARE NOT ALONE CAMPAIGN

  • progress has been slow, jonah and team looking to push it back because it will not be able to launch this term, looking to do next term instead because everyone is very busy, jonah will need to talk to the rest of the campaigns team


INTERNATIONAL WOMEN’S DAY

  • international women’s day is on the 8th of feb 

  • peter mentioned that the women’s rep have an insta page and are looking to make a facebook page

  • megan suggested we could share the women rep’s group and share other groups in durham like women’s association


REPRESENTATIVES

  • reps have another meeting on wed with peter, peter wants to make a social media post, but there is one or two that do not have much yet and peter doesn’t want any group to be underrepresented 

  • peter has offered if anyone needs any help, but with a big group it can be difficult to coordinate things

  • some do already have pages, and peter has already uploaded those who have stuff on the website

  • allen suggested people ask the reps to intro themselves at the tgm

  • erica suggested that if it's only one or two people that haven’t uploaded their info, just ask them to provide something for people to contact them with and continue to upload the rest instead so at least there is still content

  • peter will contact the reps, but it has been slow going and difficult

  • jonah also to talk to prishanti to know what they are doing in advance 


JOINTLY HELD POSITIONS

  • there was previous discussion on the issue of jointly held positions as it is not currently allowed in the constitution, if we want to include it, we would have to have a separate provision for it

  • the social sec position would benefit from having someone else work as well, either to allow it to be jointly held or have an assistant because the workload is quite high

  • the issue discussed is if jointly held positions should be available for all exec positions or only for some

  • a problem is that jointly held positions have to be run together 

  • megan suggested publicity does not need a jointly held position or an assistant 

  • VPs also do not need more people as well 

  • president could benefit from being co held though 

  • it was decided in the end that

  • the president and finance officer position could have people holding the position jointly as they are not roles that would be practical to write in an assistant position for, but could use some help with from time to time

  • the social secretary position, however, could have an assistant position for it as it would make more sense in the long run due to high workload, freddy mentioned as well that had the events been in person this year they would have had a hard time coping 

  • freddy to write a motion to add this position, which will be presented during the TGM


MOTIONS

  • allen to write pg / mature students rep position motion to change it from simply mature students to post-grad and mature students representative 

  • amanda to do the jointly held positions motion

  • megan to do the book club motion 

  • freddy to do the assistant social sec motion


OTHER BUSINESS

  • jonah received a message to his personal facebook from what seems like a durham student and they are writing to jonah as a poc lgbt person and they’ve documented over 150 tmes that race has been a factor of discrimination in durham

  • they have sent screenshot of people saying racist sluts on grindr and all lives matter, jonah currently unsure what to reply as it is his personal account, not the association’s, also what resources are available to help

  • amy suggested to say something along the lines of i’m really sorry about what happened and what can we do to help

  • ariyike is the poc rep as well as there is a group chat if that is the sort of thing they want

Jonah

  • student support review panel went well, and he did not much to add as it was roughly the same as the last time (strengths and weakness of student support and what they should be doing)

  • have reached out to katie to do an event but she hasn't gotten back

  • culture commission: organising with seun to talk to the associations, plans are still tentative and will keep the exec informed


Fliss

  • the coffee social went well, this week only had 2 people, but everyone is busy

  • doing adoption station soon


Allen

  • freddy and allen met the person who was talking about including pronouns signature from the edi dept and she wanted to get opinions on pronouns

  • allen has been sending out the surveys since last night in the various group chats


Megan

  • conducted the book club on sunday and 8 people showed up, which better than last month, but turn out is still dropping but many event turn outs are dropping because everyone is tired


Freddy

  • we have had some events; wed coffee with 5 people, had a real drop in numbers

  • had a film night, but we had issues with the movies because it was supposed to be carol but ended up with imitation game because of delivery issues

  • ticket sales of drag brunch

  • eventbrite takes a cut of the tickets, as such the donation amount may be less than what was bought

  • people to encourage their friends to come along for better turn out

  • upcoming events: music and chill on discord, chit chat and make crap on the 22nd, monday there is a talk with AKT

  • freddy has been trying to think of some ideas for socials and events besides using zoom, and is thinking of doing an online cocktail classes

  • they worked in a bar previously and thus has some recipes we could use

  • freddy worried about whether or not people have the ingredients in their household 

  • megan: hispanic soc has been doing it and it’s been doing quite well because people can substitute ingredients anyways so it should be okay

  • freddy also proposed an art or drawing class

  • people have been enjoying a queer life drawing (unrelated to durham)

  • unsure if we can get nude model, jonah suggested talking to sexpression

  • freddy will message their friend who may know some semi-professional models

  • otherwise we can get someone to dress in something that is important to them to their identity or sth that makes them feel confident etc and draw them like that

  • can maybe get the trans association to join in

  • murder mystery

  • people can invite friends and run the zoom call for friends

  • depending on how many people sign up, we can either to have a small group doing the murder mystery together or something bigger where people are split off into groups

  • it might be nice to do with people you do not know as a chance to get to know others

  • but also people who are have social anxiety etc, for them they can have the option to do it with their friends instead

  • can have a mix of people who come in their own friend group and some with random people

  • freddy to do a spreadsheet to have some with random people and some with people they would know

  • allen suggested advertising the event again because people may not know

  • jonah suggested a plan the morning or day before to see who runs what

  • freddy also still needs to buy the game and will do so


Erica

  • as we are unsure unsure how many people will come to the akt talk, the exec members are to come along

  • erica was talking to anne this week about the intersectionality campaign and they are unsure if they can run the last leg of the campaign because of diss commitments and uni work and also some team members in the group forget their week of posting

  • therefore, instead of putting out something sub quality, they decided instead that they will not post, and will instead pick it up with the event panel in the third term 

  • allen suggested that for the AKT talk, because there is a number of talks happening, we can make a graphic about all the talks that is happening and put it out to advertise

  • megan suggested that it might work best as an instagram story and facebook post as there are a few posts going up

  • allen to make the graphic and send to megan

  • erica suggested to put the history events together with the events post

  • possibly do both, put on story and event post


FINANCES

  • jonah has received a message from tom penman (ex treasurer) that for the last three years he has been paying from the website without being reimbursed 

  • he says it is in the ballpark of £200

  • jonah has asked for receipts and bank statements from tom to know how much we actually owe him

  • we have £500 for the start of the year, so we can use that

  • every year there is £500 and can apply for more if needed

  • to talk to tom this week and change the billing address after


DAY IN THE LIFE TAKEOVERS

  • those who wants to volunteer they can do day in the life takeovers to show people what being an exec is like

  • to do them now or one a week and put them on highlights so people can find up about the post

  • allen suggested can substitute the intersectionality post for this instead

  • megan can do a google form for what people want to do, she to do it over the next week and go from there 

  • fliss happy to do theirs this week, but allen suggested that since with history month we have had a lot of things and maybe to postpone it

  • the content does not have to be related to association work, and it might be nice to show some self-care tips as well


ELECTIONS PROCEDURES

  • with the ongoing SU election, jonah reminded that the association cannot endorse anyone

  • we cannot use resources linked to the association to help candidates

  • jonah will not be endorsing anyone as the association president, possibly as another candidate, but not as the president 

  • but the rest of the exec can endorse people on their own platforms 


TGM DATES

  • discussed that it will be held on second last week of term

  • tentatively on a tuesday 9/3 at 7:30pm 


END OF YEAR ELECTIONS

  • jonah suggested that they exec are to try and find people to run because of worries that people won’t be running because of less engagement 


SURVEY

  • earth science survey, jonah to share within the presidents group to share with their own members

  • this is regarding the pronouns at the end of emails and whether or not it should be included and how people feel about it

Reports 

Jonah

·       Meeting with Ewan Swift (welfare and liberation officer) and mature student who was the victim of a homophobic incident to discuss prevention, active bystandership was put forward as the clearest answer. 

·       College Reps meeting- lower turnout and lower energy than expected but no outstanding issues apart from the idea of an album swap, to be discussed next meeting.  

 

Allen

·       Welfare Report Project- Must seal the envelopes as had ordered origami paper online which took a while to arrive, looking to share them next week. 

Erica

·       Sent in AKT talk guest list to the SU. Wanted to ask Megan/Freddy about who puts up socials. Megan does it. 

·       Charity fundraiser update- have broken the £500 to get £514. Asked if they should announce they have met the target on the post. Will keep fundraising with a new post with a new target of £750. Freddy suggested linking it to the murder mystery by charging a fee. 

Fliss

·       Coffee social is going well moved to Gathertown. Will make sure the link is kept to private spaces. 

·       Adoption station has reached 16 signups.

Freddy

·       Socials going on as normal with strong turnout especially the Quiz with 20 p’s coming. 

·       However, games night social was less well attended because was moved from 8 to 7, will move it back to 8pm. 

·       D and D- 12 people currently involved and having fun. There are two sessions and no more space but two sessions should be enough. 

 

Agenda

Murder Mystery

·       On the 27th, will be ticketed. Will use professional ticket price most likely to be Eventbrite.

·       After a discussion decided to charge £5 per ticket (Freddy question if we should do £3 but group consensus dictated 5.) 

·       Freddy asked if it was alright to spend money on an online murder mystery. Group wants to use £39 for a drag themed one. 

·       Allen recounted the budget- Allen- Balance 873.22. Fliss is owed £218, Jonah is owed £50 so have just over £500.

·       Freddy- Have not spent much money before. Reusable value is not too much but can make it an annual event. Jonah suggested doing this for Halloween each year. 

·       Vote to in favour unanimously to spend 39.95 on a drag queen murder mystery. 

Film Night

·       19th- Voting to decide the film on the discord server. Freddy urged the exec to vote as well between Imitation game, Carol, Danish Girl. Hopes it will be well attended. 

Weakest Link Social 

·       Jonah explained what weakest link is to Allen. 

·       Amy’s uncle had been on and won it. 

·       General discussion about how we can run an online event. 

Exec Social 

·       Freddy- waiting for Amanda to be in the country.

·        Anne realised she had not filled out the form so will do it. 

·       Fliss urged the group to do it on a Saturday evening and the group agreed. everyone except has filled out the google form. 

Social with Classical Film Society 

·       Jonah suggested doing a history month collaboration to show an old Hollywood film with a LGBT+ following such as All About Eve.

·       Jonah will ask the group classical film society.

Cabaret Show 

·       Jonah mentioned his plan for a charity funraiser to the current fashion show exec. They did not seem very enthused so he plans on discussing it with Durham Student Theatre (DST) to work out the best way to do this. 

·       Will work on this over the next holiday. 

Potential History Month Talk- 

·       Jonah’s meeting with Katie Brun lead to the idea that she could come to the association to give a talk about her life 

·       Allen suggested the last day of history month but Erica pointed out the schedule was packed during this time with the EDI have stonewall event on 25th, then sociology on the 26th, the AKT talk on the 22nd and Murder Mystery is on the 27th.

·       Allen- suggested first of March and Jonah will email Katie.

  • held reps meeting

  • good, people had good ideas and got things into motion

  • working class facebook group is now present, everyone has had ideas and plans are on the way


Fliss

  • gather town social went well


Freddy

  • chit chat and make crap went well, had a few people present

  • had the music social which went well

  • next main thing is the quiz on the 13th, freddy has started making the quiz and other exec members can send them ideas 

  • main theme for the quiz

  • freddy has set up a google form with them a month ago with the college reps, 5 people replied, but there has been stilted replies in general and a lack of follow ups

  • freddy will encourage reps to make a team for people to join, but in the end individuals can still make teams with their own friends

  • freddy will inform the colleges that they just have to make a zoom call, and freddy will divvy up the colleges (2 colleges per team)

  • for now, the event is to be advertised as a zoom call that people do with their housemates / on their own teams / on their own, and if they do not have a team ask them to contact their college reps

  • megan to message the college reps to promo the quiz

  • people can join the zoom call on mute and have their own call with their own team using a laptop and phone 


Anna

  • campaign had been doing lgbt+ history month stuff

  • catherine donvan has said that the next post should be about lgbt harassment etc, will use the post that welfare has uploaded in the past, erica making graphics

  • GNB bathroom starting to have more progress

  • will record the third episode of the podcast next week


Megan

  • fundraiser at £430


MOTIONS

  • motion regarding book club, the person ran it last year was not on the exec and found it hard to coordinate publicity and logistics

  • thus, there is a proposal to make the person who runs the book club to have a position similar to the indeed reps

  • the consensus was that it is a good idea, and it’s good to have a formal point of contact with the exec and having a liaison would make it easier 

  • however, also decided that having an entire rep position created may be too complicated, instead decided to pursue the route of adding the responsibility of contacting the rep to one of the existing exec positions

  • possibly to add a responsibility to liaison to steering officer and publicity and media officer: ensure that the book club is run and liaise with the person running it (just to ensure that the book club is run)

  •  change title to PR officer rather than publicity and media 

  • issue with the clarity of how it runs 

  • this idea was scrapped in the end, instead we could clarify the position notes and ask future position holders to have clearer handover notes to make things run smoother

  • reminder to write handover notes

Jonah

  • had the first you are not alone campaign meeting and it went well

  • looking to launch the campaign before the start of third term (editing will take time), tentatively the week before the start of 3rd term


Allen

  • managed to get a hold of scott, and it has been agreed that allen will manage the whole finance situation: allen will enter the app and enter the reimbursement, while letting scott know what to approve

  • will do next week because allen still does not have access to app, he will email su

  • anyone who requires it please message allen for reimbursement amount


Peter

  • peter has been talking more to minority reps, and is going to get a social media post for when they all have their stuff sorted, it will probably require more than a week, and we can publicize it after 

  • peter to send info to megan after he checks with everyone if they are ok with their info being on out public media 


Freddy

  • we have had good social events so far

  • freddy has been counting how many people have turned up for various events so far (8, 16, 12, 11, 8) and it seems good amount

  • the music event was popular (less pressure in terms of social, people feel more comfortable joining), and freddy has been getting feedback about socials in general

  • the instagram posts have also been helping

  • upcoming social: film night, pride (29th), dnd (30th, ticketed) can advertise on discord

  • risk assessments have been done

  • concern about discord is that there are no filters for who can join (but quite easy to kick people, and it is not easy for people to trace you either as the account is anonymous), we cannot do anything about filter, instead we might have to put a disclaimer on the discord itself to let people know → can have a message for anyone who joins, and a list of rules 

  • signpost what to do in the event of a breach

  • minecraft server has been created by someone 


Erica

  • have a meeting later this week with someone from the EDI dept about the GNB campaigns

  • this week last week of jan, so next month will have to start history month plans; mainly quiz, campaigns, and hopefully fund raising (AKT has not replied, but erica will chase them and they hopefully will reply this week) 

  • erica to email professor about more info (amy to help) 

  • megan want to sort graphics out for the first week of feb for what will be gg on, whoever is in charge of any events to send to megan) 


COFFEE SHOP SOCIAL

  • freddy and fliss have talked about moving it to gather town

  • peter did a osbournes gather town and it was very good, not sure if to move coffeeshop there or to trial it

  • tentatively to have a trial run on the 1st of feb (monday) starting around 7:30 to intro the idea in the next coffee social

  • we could market this as something new for the start of history month 

  • how would it work: can hear what other people are saying if you walk near them, and there are private spaces in the booths where only the people in the space can hear what’s being said


MEETING TIME

  • changed to 2:30pm


ADOPTION STATION

  • fliss has it all set up and running, 10 responses, 7 has been kids


AKT

  • akt has been offering to have a speaker from akt for free for history month

  • we have two panels in the works (campaigns, and one by jonah and freddy and the politics society

  •  campaigns is in june about lgbt intersectionality issues and contacted durham academics, for jonah and freddy it’s about what the govt needs to differently

  • akt talk can tie in to jonah and freddy’s talk better so perhaps to use it for that

  • they are available every weekday in february, fliss to send to jonah the schedule

  • if it we cannot tie to a panel or the panels are too late, we can do a one off event


COLLEGE REPS MEETING

  • this wed, doodle poll looks like it'll be 1-2 or 3-4

  • if anyone wants to join, you are welcomed to come

  • peter and amy one of them needs to be there, jonah will run the times by them

  • asked the reps to fill out by the end of today

  • need to run some by anne


IDENTITY REPS MEETING

  • after speaking to phoebe they said they would benefit from monthly meetings

  • peter is going to do one this term, but can possibly do a february meeting and march meeting 

  • have messaged them all, but one or two have not replied and peter has tried to reach out to find out their plans


BULLYING AND HARASSMENT MEETING

  • uni is doing a bullying and harassment focus group based on combating it and it’s part of the respect commission 

  • if anyone wants to be a part of it they can write to them on an email by 19th of feb, and on 18th of feb they are going to have a meeting, jonah to attend


COME-OUT FOR A WALK

  • issue on the idea of come out for a walk on whether it is safe to match people up considering the pandemic and general safety of pairing strangers up

  • we could make it clear to students that we don’t personally know the people and they should only go if they feel safe

  • include the covid guidelines 

  • to provide contact details for someone if anything does happen (amy’s contact)

  • dan from DPOCA was talking about a big intersectional walk

  • issue is that there might not be enough interest

  • sometimes the broader you make the target audience the less comfortable people will be to be involved 

  • need more info after we’ve had our walk


GDPR

  • amy brought up an issue we may be having in regards to GDPR collection 

  • in terms of collecting info, any student that collects data has to do the GDPR training, every term need to do a form

  • amanda to create a document of the dos and don’t for GDPR 

  • to CC amanda for forms that involve data collection


REFRESHERS FAIR

  • jonah has not heard anything back from

  • jonah will try to talk to the SU to get more info

  • it is to be conducted next weekend and the SU has said priority goes to people who were not on last fair

  • exec members are to to send times they can’t do a shift to Jonah 

  • 10am - 4pm, probably do one slot of 2h


FINANCES

  • someone to get a new finance training, possibly fliss they are finance trained 


TGM

  • allen has informed us that he will be leaving the university in april and therefore in the next tgm we need to vote for a new post grad

Allen

  • has messaged scott about finance, but he has not replied

  • no one has been able to get into contact with him yet (jonah has messaged as well) 

  • thus, he is waiting for scott to get back to him before proceeding

  • allen brought up an issue we’ve been having about messages on facebook, sometimes we miss them, who is in charge of answering them

  • megan supposed to be in charge, but there is some confusion 

  • now, it is directed that megan should be in charge unless there is a question that falls more precisely into the domain of another exec member, if so megan will inform them and they will answer

  • if anyone answers a message from someone else, they will be responsible for the continuation of that contact


Jonah

  • 3 sign ups for the campaigns team, total 7 people

  • jonah still needs to send emails to confirm and is planning a meeting

  • jonah attended the first student support review meeting and it went well

  • the associations had to define what we felt student support want, strengths, weaknesses, opportunities, consensus was student support was student led rather than uni led (college welfare, assoc welfare, jcr, mcr etc → students doing most of the heavy lifting), so hopefully as an outcome next year (looking to restructure student support) uni will have better signposting what each group does as well as supporting the students

  • the university is proposing having several panels with all the students and is in the process of collating information and will get back to us

  • they are to have guidelines and concrete targets, but that will not happen for another month or so


Peter & Amy

  • they had a meeting with welfare officers, might have possibility of collab with other welfare teams, but depending 

  • drop ins have started and welfare wednesdays have started

  • have not made much progress for working class students social media because of the rush of first week, but progress is being made, and will they keep updating the rest of the exec

  • we have had 3 so far, went well, 16 people turned up for coffee, 8 for chat and make crap, 11 for discord

HISTORY MONTH PLANS

  • erica had meeting with EDI person from SS and have a vague idea of what we want to plan

  • freddy has put it in the college rep group chat with a google form to indicate if they can be involved

  • they trying to get emails of the college reps as well; trying to get one contact per college, regardless if they are the LGBT rep

  • suggested for the idea to be put on the group page with the other college reps as well

  • jonah to have a january meeting with the college reps, to create a doodle poll, probably wed aft, sat, or sun, need to try and get more engagement from them

  • one of the professors also suggested an extra campaign about how covid has affected lgbt life (domestic violence, hostile families, etc) with more signposting of uni support services in order to raise awareness, and the campaigns team will try to do sth that ties into welfare wed campaign or a separate post, probably once a week over february 

  • could do a fundraiser similar to the DPOCA 

  • possible: albert kennedy trust (the professor has worked with this charity), mermaids

  • DUCK fundraising workshop as well

  • possibly to email the professor to talk about the charity to get contacts, will email sometime over the next week

  • the only thing they haven’t done is how to change legal name

  • issue currently is that without having a full legal name and gender change, it is difficult to change name on CIS

  • difficult for people who just started or do not have access to govt thing

  • will put in canva for everyone to see

  • freddy was unsure on how to distribute and jonah stated that it could be sent to academic officers, they should be able to help on who to send it to

  • can put it in a pdf and give it out to people

CAMPAIGNS PODCAST PLAN

  • anne and erica planned for each theme of campaign to have two podcast episodes, but the term has been busy and so they are thinking instead for next campaign podcast (lgbt and disability) that they would invite actual lgbt people with disabilities to talk and instead have anne moderate

  • the plan currently to have a zoom call and record the zoom call audio, and if someone has another way to record their voice directly, they can send it in, and erica will edit it

  • usually the zoom call is 2h long, but is usually trimmed down to 1h

  • people can be fully anonymous as well, as it is only voices

  • to ask maria if she would like to participate 


MEETING WITH MARY’S PRINCIPLE

  • this was to discuss the hate crime last term and hw colleges can support lgbt students

  • the current issues are 

  • there is a lack of ways for lgbt students to talk to welfare without being heard

  • lack of resources for supporting students (signposting emails, campaigns, etc)

  • in some of the colleges lgbt reps are not getting welfare training (on the grounds of the lgbt reps being political rather than welfare) and peter wants to talk about it to ensure the reps are being trained → jonah to speak to college reps in meeting to see if they have any problems with this, and if they do jonah will directly email the head of colleges

  • can signpost training for the reps as well

WELFARE MAIL

  • project of sending actual mail to people with stickers and sweets

  • amanda checked and there are no issues with data protection, we only need to have a statement about the data collection to say what we are using the data for and that we would destroy it after

  • proposed to use a website with proximity chats instead: when freddy did the form for social, there were people who were willing to try sth new, can have a gimmick to try and interest people to joining

LGBT HISTORY MONTH WITH SOCIAL SCIENCE DEPARTMENT

  • Campaigns team to commence first monday of term

  • the main idea is to have tie in events that are planned with intersectionality as part of the campaign

  • during last year’s history month people shared recent activists, therefore this year might be nice to look further back into history, also possibly at different cultures, different identities

  • the main thing that always comes up is stonewall riots, might be nice to have different countries as well about their lgbt history instead this year

  • Jonah and Freddy are also doing a politics panel which is more activist focused, thus it can cover the contemporary side to complement history month

WELFARE FORM

  • welfare has created a form about what people want to see for the next term, and they will look at that to see what they can do with welfare (they have had 6 responses to the form)

  • we’ve had a load of socials that was proposed on our annual which couldn’t happen because of covid, so instead freddy has made a new list of socials for this term

  • freddy has made a file with all the events which we hope to do the next month or so with all the group chats available so that we know when to do it and know when to post it 

  • the feedback that has been given so far is that facebook groups are where it is ideal to post the socials, but we should also try and cross post on different stories on things like a alliance, bimo, etc

  • freddy and megan proposed to have a weekly update on the socials, with a poster of what is available in terms of socials of the current week and the next week

  • they will make graphics for each week as a summary of what is going on, this can be posted on instagram and facebook, and possibly we could pin the posts on facebook as well

  • to add drop in times as well, can add in identity rep social plans as well

  • allen raised concerns on whether freddy will have the time to run all the socials and freddy said they are okay to run most of the socials, but the socials as set to run themselves as well so it will not be too stressful for them

  • the guide for the teachers has been completed, but for the students guide it contains information like how to legally change one’s name, etc, and it has been more difficult to put together

YOU ARE NOT ALONE CAMPAIGN

  • idea that Jonah had

  • Jonah: there has been a big turnout problem within the colleges, a sense of it being hard to make proper connections at this time between college reps and students because it's hard to put a face to a name and build relationships to get people to come. i am hesitant to put my face forward and instead want to do a campaign that is directed to freshers, and livers out.
    it will be a video with myself and any other exec members who wish to participate as a direct message to them about them not being alone.

it would involve the LGBT+ association, college reps, trans association, and DPOCA and i would like a montage of videos of people saying if you’re “gay, trans, ace, etc” with different faces (to make it seem like a bigger community).
planning to write a script during christmas and start it next term as well as to have a panel / open forum to discuss how lockdown has affected lgbt communities, get an activist, lgbt+ artists as a launch panel and have the campaign video afterwards.

  • Megan is keen to get involved, and suggested it might be good at the start of the second term to do posts for the college reps and if they are down to get involved to show who their reps are

  • there is a person in purple radio who wants to do a podcast episode about specifically trans and non-binary people specifically, Erica could possibly liase with her and work with them to make it easier (head of arts for purple radio)

  • Jonah will try to talk to palatinate and the bubble to have more resources and platforms, would be good to have some positivity

  • from a welfare point of view, will have a disclaimer that it will go online that will signpost welfare resources for participants in cases of backlash as well as how to report hate crimes etc

  • have started advertising for trans association election

RADIO SHOW

  • tonight will be the first show

  • no advertising has been done yet as the current plan is to treat it as a dress run as Jonah and Fliss are unable to do a test run as the purple radio main area is closed

  • advertising for the show will start next week

  • the radio will cut off exactly on the hour and Jonah and Fliss planned for this with two songs to pick from as the last song of the night


COFFEE SHOP SPEED-FRIENDING

  • Freddy and Fliss want to do an event that is weekly and just about making friends

  • they plan to have a zoom call with breakout rooms called tables like a coffee shop

  • tentatively to take place weekly on wed from 4-5pm

  • similar event to speed friending

  • to launch next week

  • to include in mail this week

  • may need a rotation of exec members, this will be determined on a week by week basis, if Freddy or Fliss cannot make it they will let the group know and someone can help out

  • conversation topics will be provided

  • first session at least will be traditional speedfriening of groups of 2 with speedflying questions to break the ice and talk to each other 

  • as the weeks go on, may broadening this and expand for the idea


RISK ASSESSMENTS

  • Megan brought up risk assessments and if they needed to be done as they were mentioned to her by the President of the Hispanic Society

  • the association has not filled out risk assessments, but we will from now on 

  • there will be a link sent into the group for where to fill out and submit the form

  • Freddy to make a template for the online events (as risks will not really change), to use that template from now on


HISPANIC SOCIETY COLLAB

  • current plan is to do the quiz in colleges

  • Freddy and Megan to be there on the night itself

  • Freddy to conduct the live stream while Megan answers questions that may appear on Facebook, or the various messenger chats

DURHAM SURVIVORS COLLAB

  • durham survivors to collab to cover the association’s welfare

  • will offer in return to include them in the association’s resource guide

  • additionally, if they want to post on our social media we can do that as well


EMERGENCY SU MEETING

  • regarding the town hall meeting, Maria and Jonah managed to convince them the idea regarding sharing sexual violence stories (previousy discussed) is not good idea, hence it is not going forward

  • SU will tentatively do a week long campaign on sexual violence, would like the association to be involved

  • Jonah will keep updated

  • Freddy can send in statistics and some resources to Anne to make graphics similar to CIA alongside the resource guide

Jonah

  • assembly went well, nothing much to vote on, will provide list of candidates next time, only two were contested

  • if anyone wants the details of the assembly they can contact jonah

  • liberation forum went well, j is going to have another meeting and they are probably gonna create another committee for welfare

  • going to have a dismantle the culture group with the staff and students, to basically form an oversight group of the respect commission group to ensure that they are doing what they set out to do


Fliss

  • rocky horror social went well, 10 people showed up and it worked well and the streaming worked

  • could plan to do something like this again, possibly with netflix watch party

  • parenting social is tomorrow, but there is no further preparation needed

  • any questions that are sent into the facebook messenger regarding parental scheme will be answered by Fliss


Campaigns

  • campaigns have had a bunch of new freshers sign up

  • conducted a shop call to brief them on the campaigns that are currently on-going, as well as the upcoming plans 

  • Erica and Anne had a meeting with Ewan and they helped them with administrative details such as an action plan and contacts to use

  • Ewan will also be hosting a drop in session for association people because the SU didn’t contact the associations properly

  • Anne has a new plan for the new campaign (sexual misconduct and consent), if anyone wants to see it, she will share it to the facebook group

  • the new campaign is aimed at boosting other groups that tackle sexual misconduct and consent

  • to post resources for what to do should an incident occur to someone on campus and how they can make a report to the uni

  • to be added to the website as well

  • campaigns and welfare, along with Jonah, to collaborate on this

  • regarding the GNB, Ewan suggested putting the survey on the welfare groups, Peter has done so


TRANS ELECTIONS

  • currently in the process of discussing a date for the elections

  • tentatively during the penultimate week of uni

  • need to send in the settled date to the SU


CLOTHES SWAP

  • questions were raised by a few people (in person and from messenger) about if the association will be running or helping to organize a clothes swap, especially considering that the trans association cannot host one this year

  • it is a good opp for people to get some gender affirming clothes and it has been run before with relative success

  • however, due to the current situation with COVID-19, there are certain issues; there is no place to store the clothes as the association room is closed, furthermore, distributing them safely will be difficult as well 

  • discussion to be tabled for the second term if things have died down by then


MINORITIES WITHIN MINORITIES 

  • Peter has managed to get the info together about minority within minority reps and is ready to put together posts for the association’s social media and website

  • there was a suggestion to change calling them from minority within minority groups to community groups by J

  • no issues about changing the name, Peter to do so as he sees fit

  • tentative plans to have a collaboration with the other associations to form an intersectional group as the association already has rep positions for each other association

  • plans to advertise this

  • currently, we can have people as acting reps, but can only be elected at GM


TERMLY GENERAL MEETING DATE

  • to be put in the agenda for next week


HISPANIC SOCIETY COLLABORATION

  • Hispanic society wants to do a collaboration to have something celebrating LGBT+ people and latino culture

  • Megan had a meeting with the president last week, and they wanted to do a week of talking about lgbt+ people on latino films, tv, etc

  • they wanted to do a film night (hispanic society will host), also wanted to the association to host a quiz and they would host a round (Megan has talked to Freddy about this and they are ok with that), also the hispanic society wants to do a post about LGBT+ latino figures, which the association would in turn share to our page

  • the quiz is tentatively to be conducted in the same form as the previous one (in college groups) and is tentatively to be held around the week beginning of the 16th of November

  • Megan to correspond for the event


COLLEGE REP MEETING

  • Jonah to create a doodle to organize a meeting with the college reps this week

  • spoke to marys that they want to do an lgbt sensitivity training, will try and get the colleges ro emulate what they’re doing, will bring it up in the meeting and see how it goes down

  • will not run with it until mary’s has settled because it’s their idea, will leave it up to them


GOOGLE OUTREACH REQUEST

  • google advertising virtual program for people who want to get involved in google

  • to be added into the career opportunities google documents

  • the document created by Amy is to be linked in the website, and Megan is to do an instagram post about it

NEW CAMPAIGN

  • the campaigns team are gonna start a new campaign about sexual consent and misconduct

  • more of an online campaign, similar to CIA, directed towards lgbt+ students and community because there is a lack of resources for lgbt students 

  • also plan to make a podcast and posts about it

  • amy and peter have had training on this, will be happy to join in 

  • welfare and campaigns to join and work tgt

  • want to work with the existing sexual misconduct campaigns in durham already, collaborate and help them make posts that are more lgbt focused on their platform, then share on ours, this way can get the message across a bigger audience


PURPLE RADIO CAMPAIGN

  • DPOCA has gotten back to the association and over the next two weeks, campaigns will be contacting the interviewee, DPOCA’s VP, Yash 

  • the first podcast will focus on the first 4-5 posts on the CIA campaign, and campaign will sit down and have a chat with the interviewee

  • erica, anne, one of the members of the campaign committee and shivani, will record and edit the audio and hopefully get the podcast out

  • taking suggestions for names of the campaign


GAYBORHOOD WATCH

  • fliss and jonah are meeting with joe either tomorrow or wed to talk about it

  • there is a gay playlist in the purple radio called gay time playlist or gay list → to be looked into


GENDER NEUTRAL BATHROOMS

  • erica and allen met to speak about the gnb campaign and have created a survey where people can enter the positions of the gnb on campus

  • when they know how many there are and where they are, the team will proceed from there

  • messaged SU about getting finance training and they responded saying they will put on more training in awhile


GAMES NIGHT REVIEW

  • good amount of people came and had fun

  • ran relatively smoothly and well

  • ended up playing nearly 5 hours of among us


VIRTUAL SAFETY

  • this is in relation to the zoom bombing incident that happened during one of the socials hosted by Mary’s LGBT+ 

  • association needs to find a way to organize a virtual safe space, or as safe as it can be

  • the association is to have a disclaimer at the start of socials, highlighting the risk involved, but also what we will do to try and mitigate it

  • what would the association will do in a scenario: 

  • in discord, if people did join the voice channel and did something inappropriate, if Freddy were kick them out, their discord names would be revealed to Freddy, and action can be taken from there

  • issue about people freezing due to the negative comments faced

  • the association plans to have thus at least two exec members present for every online social from now on; one to host the social itself, and one to monitor the activity and to be prepared to kick anyone out

  • also, to have the option to bar people from entering until the host lets them in for zoom

  • on discord, there is to be someone per voice channel who knows how to kick people out

  • if talking to the colleges need to communicate with this as well

  • participant viewing of who is attending events is disabled on facebook

  • mentioned only giving out zoom links to people who click attending, but there is the issue that people might still be nervous that clicking attending on an event might out them

  • current tentative plan: have people message or email the association for zoom links so that at least the association can keep track of who has the link

  • possible plan: using eventbrite, make events ticketed on facebook and eventbrite will automatically send emails with the link → to look into 

  • need to extend the short summary policy that we have to show the disciplinary procedures that will be available should such an incident occur during an association event

WELFARE RECOMMENDATION HUB

  • problem identified in dropins that if someone comes to talk about a particular issue / identity that the welfare team is not totally sure of, and there is thus the issue of not really being sure what to recommend to people

  • therefore, proposing to have a place where people can submit things (books, movies, podcast, etc) to suggest things that helped them with things like accepting or understanding their identity 

  • megan can put in the book club books

  • there has been some recommendations on discord, but there is the issue of not everyone using discord

  • tentative plan to add it to the website

  • peter and amy have created a google form for it, open questions for people to write what they want

  • intfemsoc wanted to get as many trans and non-binary people to come to have them talk

  • the campaigns team is currently discussing doing podcast (separate from fliss and jonah’s radio podcast)

  • one of the members of the campaign had to drop out, and therefore campaigns will probably have to open sign ups again

  • jonah has talked to the su, and we need to send them the timeframe of the nominations and voting

  • jonah went to a respect commission meeting, it came up over summer, it was about homophobia, sexism, racism, etc, 

  • it was a talk with the vice chancellor about these issues

  • they want to make a respect oversight group, 15 people staff and student to oversee, looking for people who have links to groups and have knowledge about the group

  • jonah asked if could have the full exec of the association, they replied to say that jonah should run as a representative of the association

  • society reached out to Freddy about a collaboration 

  • the society wants to collaborate with the association to do a feature about being more inclusive to trans and non-binary people in feminism, how to combat transphobia, etc

  • the society wants the association to help raise awareness, get some people to be the ‘experts’ on the subject (trans and non-binary people)

  • the feature is to be collaborative and a chance to talk more about the issues at hand

  • association to try and get trans and non-binary volunteers 

  • the society also wanted help with the wording of a post and Freddy helped them with it

  • time frame: 28th oct or 4th of nov, they currently have a few things lined up for now so it’ll be after that

LIBERATION, WELFARE AND EQUALITY FORUM

  • what has been conveyed currently is a termly meeting as a way to have the colleges and associations to have more communication

  • the association has been asked for feedback and found the idea good but there are some issues

  • e.g. only one officer can account for welfare equality and liberation, which is limited

  • jay, peter, and jonah will be in contact to talk about the deliberation community

  • there are also certain practicality limits

  • the forum is meant to be basically a way for campaigns to run their ideas through larger group

  • currently, support from other associations is also unclear

  • welfare opinion

  • currently unsure how useful the forum will be as the subject of discussion is unknown

  • but if it is chance for people to get their voices, it could be possibly useful

  • however, liberation as a whole is not necessarily exclusive welfare, may be better for the president - who has better of a view of the whole situation - to be inside than welfare officers

  • Jonah suggested to split welfare from the rest 

  • Jonah to confirm more details about the meeting and relay

EMERGENCY SU MEETING

  • the exec previously had motion to agree to participate in the emergency SU meeting

  • the association has since agreed to have a discussion on sexual violence and spiking

  • however, the meeting as issues as there was disagreement about how it would go about in terms of practicality of people speaking up and confidentiality issues 

  • therefore, the idea is not going forward, the su meeting probably won’t happen for a while and has been postponed

  • freshers fair breakdown

  • the turnout was low due to the circumstances at hand, however it went well despite this and no one encountered any major problems

FIRST WELFARE DROP INS

  • first welfare drop ins will be conducted this friday by Peter and Amy (welfare and assistant welfare officer)

  • Megan (publicity and media officer) has a link tree set up on instagram and will forward it to peter and amy, also to put a story on instagram about drop ins 

QUIZ

  • to take place on the 10th of october 

  • planned to be done via livestream, tentatively through facebook live 

  • the quiz will be conducted via kahoot

  • teams are to be made via colleges, college reps will be appointed the ‘head’ of the team and will conduct their own zoom call with the LGBT+ people within the college itself and will be the ones to submit the answers into kahoot

  • all to be confirmed with the LGBT+ college reps, 8 have indicated interest already

  • those colleges without a rep will be represented by an exec (preferably of the same college)

  • currently ustinov and south do not have a rep and there has been trouble getting in contact with collingwood’s rep, fliss marked to take south college, allen for ustinov, and peter for collingwood

  • Freddy (social secretary) to be in charge of the event and to post on the event page to make clear what is going on

  • Freddy also to send Megan the details of the event so that she can make and instagram post about it

  • will attempt to livestream the event on discord as well as on facebook via two different screens

ADVERTISING OTHER ASSOCIATIONS / MWM GROUPS

TRANS ASSOCIATION

  • the trans association currently does not have a full exec and has no election

  • Jonah (president) to talk to Ewan about this and suggest that the LGBT+ association can help put on elections if necessary, also to ask about their re-registration 

  • would be helpful in the mean time to find a trans rep 

  • to advertise the trans association on the LGBT+ association page as well

  • not to run the system for them as it would be encroaching on their jurisdiction, but helping where possible

  • Peter has messaged Miller (he/him) and Allen has messaged Bran Blackshow (they/them), but it is unsure if either of them will still be on the exec in the upcoming year

EMERGENCY SU MEETING

  • the womxn association president has contacted Jonah about an emergency association meeting with the SU regarding the ongoing investigations about the screenshots that have been circulating around

  • the meeting is to be focused on misogyny, racism, lad culture affecting minority groups, etc

  • the association has a general policy not to be involved in politics and therefore a vote was taken among the exec on whether or not to participate in the meeting

  • vote was taken by a raise of hands (no secret ballot was requested) and it was a unanimous vote to participate in the meeting

EMAILS

  • have received emails about job opportunities for LGBT+ students

  • Amanda (steering) to forward the emails to Amy who is collating them in a word document

  • career document is then to be put in the linktree

  • also have received emails about people wanting to get more involved with the association

  • currently looking into what can be done for in person drop ins, there is no particular SU policy, so will follow the government guidelines

  • colleges are doing in person welfare drop ins that are socially distant, there is no particular SU policy, as long as we follow the government guidelines, will have a look into that

  • currently have no access to the association room so might have to book a different room to have the drop in

  • might mimic the college system of having a book ins for in person drop ins

  • issues with zoom drop ins due to the environment of the individual and the fact that they may not be out

  • maybe to ask college welfare if individuals can use the college welfare rooms to zoom if needed

COLLEGE REP ENGAGEMENT

  • planning to have a group chat with the college LGBT+ reps

  • have most of their contacts and have spoken to most of the reps themselves

  • only left with south college and ustinov

LIBRARY

  • plan to get the books read by the book club last year into the library

  • most of the books are either online, free, or in bill bryson, so the cost will not add to too much

  • thinking about asking for donations and looking into charity shops

  • current costs looking around £37.06

  • Amanda to look into an app for keeping track of the books

  • Allen to contact Tim from liberate my library to see if he is willing to help in obtaining the books

PROTESTS (DISMANTLING THE CULTURE)
