LGBT+ Association Meeting

ORDERS OF BUSINESS

REPORTS

Allen

  • has messaged scott about finance, but he has not replied

  • no one has been able to get into contact with him yet (jonah has messaged as well) 

  • thus, he is waiting for scott to get back to him before proceeding

  • allen brought up an issue we’ve been having about messages on facebook, sometimes we miss them, who is in charge of answering them

  • megan supposed to be in charge, but there is some confusion 

  • now, it is directed that megan should be in charge unless there is a question that falls more precisely into the domain of another exec member, if so megan will inform them and they will answer

  • if anyone answers a message from someone else, they will be responsible for the continuation of that contact


Jonah

  • 3 sign ups for the campaigns team, total 7 people

  • jonah still needs to send emails to confirm and is planning a meeting

  • jonah attended the first student support review meeting and it went well

  • the associations had to define what we felt student support want, strengths, weaknesses, opportunities, consensus was student support was student led rather than uni led (college welfare, assoc welfare, jcr, mcr etc → students doing most of the heavy lifting), so hopefully as an outcome next year (looking to restructure student support) uni will have better signposting what each group does as well as supporting the students

  • the university is proposing having several panels with all the students and is in the process of collating information and will get back to us

  • they are to have guidelines and concrete targets, but that will not happen for another month or so


Peter & Amy

  • they had a meeting with welfare officers, might have possibility of collab with other welfare teams, but depending 

  • drop ins have started and welfare wednesdays have started

  • have not made much progress for working class students social media because of the rush of first week, but progress is being made, and will they keep updating the rest of the exec

  • will try to get in contact with the other reps individually to see their plans, how they’re doing, etc


FREDDY

  • socials

  • we have had 3 so far, went well, 16 people turned up for coffee, 8 for chat and make crap, 11 for discord

  • the clarity of events on insta and discord is good, the plans listed on discord have been especially helpful

  • health and safety forms

  • there is a need to submit these 

  • we have a template for zoom events


HISTORY MONTH PLANS

  • erica had meeting with EDI person from SS and have a vague idea of what we want to plan

  • freddy going to do a quiz 

  • freddy has put it in the college rep group chat with a google form to indicate if they can be involved

  • they trying to get emails of the college reps as well; trying to get one contact per college, regardless if they are the LGBT rep

  • suggested for the idea to be put on the group page with the other college reps as well

  • currently have 5 responses 

  • jonah to have a january meeting with the college reps, to create a doodle poll, probably wed aft, sat, or sun, need to try and get more engagement from them

  • one of the professors also suggested an extra campaign about how covid has affected lgbt life (domestic violence, hostile families, etc) with more signposting of uni support services in order to raise awareness, and the campaigns team will try to do sth that ties into welfare wed campaign or a separate post, probably once a week over february 

  • could do a fundraiser similar to the DPOCA 

  • possible: albert kennedy trust (the professor has worked with this charity), mermaids

  • DUCK fundraising workshop as well

  • possibly to email the professor to talk about the charity to get contacts, will email sometime over the next week 

  • jonah might have contacts for AKT as well

  • talk event from another speaker

  • unsure, still in planning stages

  • unsure who is meant to contact to ask about the talk, erica emailed becky (ss edi), becky has volunteered to email comms to see if they have any contacts

  • erica will ask again to clarify

  • if assoc ends up having to contact them, politics society has a format for emailing speakers that jonah can get to send to erica

  • other departments are unsure of what they want to do for history month

  • jonah has asked the SU to put together a who’s who document so contacting people can be easier

  • megan also going to do a history month thing for the bookclub

  • unsure yet what it will be

  • amber from sexpressions has also messaged about a collab, but those plans are still not concrete and instead might be conducted after history month

  • possibly to buy ebook or such for people for the history month’s book

  • if doing non-fiction can do something that is in the library


TRANS GUIDE

  • freddy has been making a trans guide (for students and professors)

  • the only thing they haven’t done is how to change legal name

  • issue currently is that without having a full legal name and gender change, it is difficult to change name on CIS

  • difficult for people who just started or do not have access to govt thing

  • will put in canva for everyone to see

  • freddy was unsure on how to distribute and jonah stated that it could be sent to academic officers, they should be able to help on who to send it to

  • can put it in a pdf and give it out to people 

  • freddy wants to run it by trans association

  • to put it in the linktree when it is done as well


CAMPAIGNS PODCAST PLAN

  • anne and erica planned for each theme of campaign to have two podcast episodes, but the term has been busy and so they are thinking instead for next campaign podcast (lgbt and disability) that they would invite actual lgbt people with disabilities to talk and instead have anne moderate

  • the plan currently to have a zoom call and record the zoom call audio, and if someone has another way to record their voice directly, they can send it in, and erica will edit it

  • usually the zoom call is 2h long, but is usually trimmed down to 1h

  • people can be fully anonymous as well, as it is only voices

  • to ask maria if she would like to participate 


MEETING WITH MARY’S PRINCIPLE

  • this was to discuss the hate crime last term and hw colleges can support lgbt students

  • the current issues are 

  • there is a lack of ways for lgbt students to talk to welfare without being heard

  • lack of resources for supporting students (signposting emails, campaigns, etc)

  • in some of the colleges lgbt reps are not getting welfare training (on the grounds of the lgbt reps being political rather than welfare) and peter wants to talk about it to ensure the reps are being trained → jonah to speak to college reps in meeting to see if they have any problems with this, and if they do jonah will directly email the head of colleges

  • can signpost training for the reps as well

  • peter to message reps about deadline for next training weekend


WELFARE MAIL

  • project of sending actual mail to people with stickers and sweets

  • amanda checked and there are no issues with data protection, we only need to have a statement about the data collection to say what we are using the data for and that we would destroy it after

  • issue: making things more covid safe, allen would clean them before and after and out info on the google sheet to ask them to clean before opening, possible to quarantine them for 14 days 

  • jonah to write a personalized message for the letters

  • content of the mail

  • welfare resources (flyer style possible, so as not to overwhelm people, nothing too wordy or lage)

  • content recommendations (films, tv, books, etc)

  • it was proposed to include the association’s social but this was decided against as we didn’t want the mail to turn into promotion forthe association

  • stickers (1000 stickers for £8 on amazon, 1000 rainbow heart stickers £12)

  • sweets (possible form to have a selection of sweets, dietary requirements)

  • origami paper with a QR code to link an instructional video / pamphlet on what to fold

  • most ex: printing (assuming 40p per page and 25 letters: £10), also stamps → possibly £50-60 for 25 people

  • allen to send budget in to exec chat 

  • allen will set up google form as well


EXEC SOCIAL

  • suggested to have jackbox games and a chill night
